First, fuel usage should be front and center every morning. Fuel is typically the second-largest expense after driver wages, and even small inefficiencies compound fast across a fleet. Track gallons purchased against miles driven for each unit. Look for sudden spikes that could indicate idling problems, unauthorized usage, or maintenance issues like clogged filters. A truck averaging 6.2 MPG that drops to 5.4 MPG overnight is telling you something — and the sooner you catch it, the less it costs you.

Second, monitor driver hours of service in real time. HOS violations do not just carry fines — they signal fatigue risk and can expose your company to serious liability. Third, check your maintenance schedule dashboard. Missed preventive maintenance is the number one cause of roadside breakdowns, and a single breakdown can cost you thousands in towing, lost loads, and customer penalties. Make sure every unit with a service due within the next 48 hours is flagged and scheduled.

Fourth, review your compliance documentation status. Expiring registrations, insurance certificates, medical cards, and permits can ground a truck instantly during a roadside inspection. Set up alerts so nothing sneaks up on you. Finally, check your communication logs. Did every driver acknowledge their dispatch? Were any messages left unanswered? Communication gaps are where mistakes hide — missed pickups, wrong delivery addresses, and confused load details all stem from poor communication habits. Track it daily, and you will catch problems before they become costly.
